When you navigate to the reporting tab, you have access to a report builder and scheduler. The builder allows you to create custom detail and summary reports about all of your data.
Types of reports you might make:
Lifetime history report of your learners
Department specific metrics
Module specific tracking
Line item details of all of your customer support new hire trainings
Reports can be exported as either CSV or PDF. And reports can be scheduled to be delivered on an ongoing basis to anyone with your organization or even external partners like auditors or bank sponsorships.
Click the create report button to begin creating a report. You will need to give it a name and an optional description.
The report type can be one of Detailed or Summary. A Detailed report is the line item details of the learner's progress on each individual assignment. A Summary report allows you to aggregate data across a large number of learners, departments, modules and more.
The date range can either be absolute or relative. Absolute date ranges are ranges where you specify a specific start and end date. The report will always pull data from within these dates. A relative date range allows the report to be flexible over time, and the data the report pulls will use dates relative from the time you are running a report. An example of a relative date right might be "This Month" so any time you run that report, it will figure out the start and end of the current month and pull in that data.
You can use the advanced filters section to filter you data in a number of different ways. We support both inclusion of different fields and exclusion of different fields. The following items are things you can filter on:
Status
Departments
Roles
Modules
Assignments
Campaigns
Learners
With these filters you can create a report that filters the departments just to Product and Engineering, and only for incomplete assignments to find all learners in the product and engineering departments who are late on at least one assignment.
When you create a Summary report type, you can also specify zero or more grouping criteria. If you specify no grouping criteria, it will just be a one row summary data of everything returned.
If you specify groups, each row in the report will be relative to the group you have chosen. You can group multiple groups together. For example, you might want to group by Learners to get summary data of each of your learners. Or, you might want to group by Department and Module to see the status of each training module by department.
After you have built a report, you can export it at any time. On the right of the row of the report you are interested in is a download button. Click this to show the options of CSV or PDF. Click on the desired output format to generate the report.
It can take up to 5 minutes to download some reports depending on how much data is in your organization, so give it some time if it is not immediately available.
Any report you build can be scheduled as well. When you schedule a report you will set the period and frequency at which the report should be run, and also set who should receive the report.
The combination of Period and Cadence determine how often the report is sent. For example, if you want a report sent every day, you would choose DAILY and Cadence=1. This means that every 1-Day it will create and send the report. If you wanted a report every other day, you would set it to DAILY and Cadence=2. As a final example, let's pretend you want a quarterly report, you could set it to MONTHLY and Cadence=3.
The start and end date are the dates at which this schedule should be effective. It is not the dates of the report data, just the dates that this schedule is in effect.
After you set those details, you can then specify who should receive the report. The following options are available:
Admin(s)
Manager(s)
Other email addresses
With any of these groups you can choose exactly who receives the report. When you select Managers, the managers will only receive data about their own learners, so we filter it to just their learners.
When you select Other Recipients, you can specify any number of email addresses. This could be for people within your organization, or it could be the email address of your auditor or bank sponsorship who is interested in ongoing data from you.
After you select your options you can click Finish to create the schedule.
For any report you can have 1 or more schedules. You might have different schedules depending on the audience of who is receiving the report.
If at any time you need to edit the schedule or the report itself, just click on the Edit Pencil icon next to each schedule and report.
